Managing Job Vacancies

Note: We frequently make improvements to the platform, the UI and Layout may alter fairly regularly however the functional principles will remain the same, we will update the guides with new imagery where appropriate!


Once logged in a users home page will display 4 Tabs: My Jobs, All Jobs, Candidates, and Team Members

Note: In Aug 24 My Jobs and ALL Jobs became "Job Vacancies"


My Jobs/Job Vacancies

These are job vacancies that have been created by the logged in user (You) and dependent on your user permissions there will be a distinction between Standard jobs and Leadership jobs - as shown below:


Note: If you do not see but are interested in "Leadership" Jobs please get in touch with your Account Manager to discuss.



All Jobs/Job Vacancies

From the landing page users are also able to select the ‘All Jobs’ panel to view job vacancies created by all users in the users organisation.


Additionally from the Home page users can access the Candidates and Team Members Tabs.


Candidates

Full list of candidates used throughout the platform, these can be inside or outside of a Job and from Self-registration links.


Team Members

These are the Hiring manager or Delegates used throughout the platform


My Jobs & All Jobs

The displayed job vacancies in the My Jobs, and All Jobs sections can be searched for based on the job vacancy name, and/or be filtered by:

  • Status
    • Open jobs
    • Closed jobs
    • All jobs
  • The role associated with the job vacancy
  • The company the job vacancy is for
  • Created by
  • Closing Date
  • Any other available filter


Managing a job vacancy

To view a Job Vacancy’s details page, select anywhere on the panel/tile/row of the job vacancy shown in either My Jobs or All Jobs. Users will then be presented with the Job Vacancy Detail page, showing 2 Tabs, 1 for Candidates and the Other is Job Details.


Under the Candidates tab you can see:

  • Candidates Summary View, and can toggle to Detail view

 

From the Summary view, users can :

  • Add candidates
  • Shortlist Candidates with the Shortlist Asterix
  • Edit candidates
    • you can edit the candidate’s name and/or status
    • you can download, add or remove the candidate’s supporting documents
  • Delete Candidates
  • See a Candidates Documents
  • Send E-mail reminders to complete their assessment
    • this can be done for individual candidates or all candidates that have not yet completed the assessment

From the Detail view, users can see more information such as:

  • The candidates Language for the assessment
  • Start date
  • Source
  • Profile View Settings - Has the user chosen Yes or No for the candidates to see their profile on completion of the assessment.


If you go to the Job Details tab, users can..

  • View the Job Details
  • Add a Hiring Manager (when the manager has not yet been added)
  • Send a Hiring Manager or Hiring Delegate email reminders to complete their assessment if they have not yet completed the assessment
  • Edit the Hiring Manager (when the Hiring Manager exists)
  • Configure Notifications
  • Document - Up to 10 Documents can be uploaded and managed here
  • Close the Job (This will mean that you are presented with a screen asking you to identify who was hired.. or not)



Closing a Job

If choosing to close a Job, there will be a prompt to mark who was hired, or not for the Job


Once Closed:

  • no more changes can be made to the vacancy
  • all open assessments and questionnaires will be closed


Job Vacancies can be re-opened if required.

Note: This will reopen all unfinished assessments, but will not automatically send any further emails to the candidates or the manager/delegate.


Deleting a Job

It is also possible to delete job vacancies if it is deemed entirely void or no longer required.

Users will be prompted to confirm the deletion by typing ‘yes’ into a confirmation box:


Note: Deleting a job vacancy will remove all data associated from the job vacancy, including candidates and their questionnaire responses, as well as the Hiring Manager’s and their responses.


Deleting a job vacancy cannot be undone!
