Sharing Access to a Job

We understand that sometimes you will want people outside of your organisation to view reporting on the jobs that they have some involvement in, such as the Hiring Manager and/or delegate, therefore we have implemented this functionality to facilitate this.


When viewing a job's details page, users can choose to share a job  and the user will be able to choose who to share the job with.


Clicking into any job displays a functional button "Share Job"



Clicking on "Share Job" will bring up a new screen, where the user can decide who to share the job with, users will be able to choose to Share ALL candidates with the Job or a Shortlist, users can share to:

  • Hiring Manager
  • Delegate (if applicable)
  • Someone Else (users and non-users)



If the Hiring Manager exists you can click on the tick-box, if the Delegate exists you can click on the tick-box, you can also add additional recipients by entering the name and email address of the recipient(s), these recipients can be:

  • existing system users
  • new system users


You can share the report with multiple people, up to 10 at a time. Once you have added the required people click on the "SHARE" button.


The user is notified that the Share has taken place. There is a "This job Has been Shared" message that appears at the top left of your screen.


Prior to hitting "SHARE" the user can Close/Cancel the process and nothing will be shared.


Accessing a job

Once a job report is shared, the recipient will be notified via email and the following scenario's will apply depending on the invited user's status:


An existing Account under chosen email

  • they will be informed via email that a job report has been shared with them
  • they will be able to login and view the Recruit home page, showing all jobs shared with them
  • they will be able to view the job details
  • they will be able to view the job report for all candidates
  • they will be able to export the job report


No existing Account under chosen email, a user account will be created for them

  • they will be sent an account creation email for them to "register" with the platform
  • they will be able to create a password
  • they will be able to login and view the Recruit home page, showing all jobs shared with them
  • they will be able to view the job details
  • they will be able to view the job report for all candidates
  • they will be able to export the job report
